MyTechDesk and Calaxy Asset Integration
Tuesday, August 19th, 2008

Please read the following blog post to set up your inventory in Calaxy Assets:
Calaxy Assets: Getting Started

To create an inventory in Calaxy Assets, you will need an Calaxy account.
For more information on how to get an Calaxy account, click here.

To tie your inventory information to your MyTechDesk account, you will have to enter your group inventory ID and password.

You will be able to do this in MyTechDesk from within the ticket screen or on the Options page:

  • Go to Options
  • Under Group Settings, click Manage Group Inventory
  • Enter an Inventory Name ID and Password
  • Hit Submit.

  • Manage Group Inventory

Enter the Inventory Name ID and  Password for your Calaxy Asset Group. This will tie your inventory information to your MyTechdesk account.

    Group Inventory

Once you have entered your asset group information in your MyTechDesk account, you will be able to select an inventory item and assign it to a ticket.
    Select Inventory Item

To select your inventory item, click the blue down arrow Select Inventory Item next to the inventory item you would like to assign to the ticket.

    Select Inventory Item

Your inventory item will now be displayed with the ticket information.

Before I add the Assetts feature I need to know what the process is for uploading/importing my inventory info, which is currently in a spreadsheet.

    Bruce,
At this point, we do not have an import feature, but we are currently working on having the ability to upload some data into the system.

Can I set it up where the requestor can select an assett item when he or she creates a new ticket?

Jeff, that is a great suggestion. We'll put that on the list of things to add.

Hi Bruce. It looks like the import capability is now in place. To import asset items into edZone Assets, create a comma-separated values (CSV) file with the following columns:
Asset Item Name, Asset Item Description, Asset Item Number, Serial Number, Purchase Order Number, Price

Note: Only these fields can be imported into edZone Assets.

Afterwards, paste the contents of your CSV file into the textbox provided and press Continue.

Here's an idea for even better integration: In the MTD ticket window, on the left just below the Asset Name, include additional edzone asset info (which info would be customizable by the group manager). For example, I would be interested in seeing the edzone asset location, so I would not need to duplicate this data in the MTD location field. Also it would be nice to be able to run reports out of MTD filtered by the edzone asset fields.

I have a question about reporting in Mytechdesk. I have my requestor grouped in Sub locations (School) and classrooms listed under each sub location.

For some reason if I run a report for work orders in a school I get 0 records returned because all of my work orders are listed under specfic classrooms even though they are under a school sub location. Is there a way that if I run a report for a school that it also count all the clasrooms under that school?
